AYSO 1390 Commission Meeting Minutes Friday July 23, 2021

Allan Hancock’s home 6420 Mountain Laurel Rd, 37924. 6:00 PM to 8:30 PM

 

Attendees: Katie Jones, Terry Jones, Allan Hancock, Chris Crum, Bethany Buchanan, Matt Pisarchick, Katherine Warner, Collin Hoffman

  1. Registration for Fall season:  Registration has been open for numerous weeks and through Blue Sombrero $2658.42 has been deposited. August 27th is the deadline for interregional teams to be submitted to the area. Katie stated that she will finalize the list starting on Aug 23rd. IR games start on Sept 11th with the last game being Oct 30th. This is a normal 8 week schedule. There will not be any Area Tournament games held at AYSO 1390 fields this fall. Chris Mullins said he would take over the leadership of the Academy program as Scott Eimmerman will not be available much this season.
  2. Treasurer Report:  AYSO 1390 acct: $7167.20; KSA acct: $10424.77.
  3. Field Development: Allan had 1 dump truck load of soil from Neyland Stadium delivered. Some has been placed on low spots on the playing fields. No action has been done yet about the deterioration of the wooden trusses in the large metal building. The walk bridge over the trench at the west end grass parking lot and the wooden picnic table behind the concession stand had a new coat of paint applied.
  4. Concession Stand:  A promised used HVAC system has yet to been installed. A separate breaker was installed to prevent a reoccurrence of loss of power that resulted in loss of food in the refrigerators/freezers. Katie and Bethany said they wanted to purchase a better quality of pretzels and sell for $4 each. They were instructed to go and order the better pretzels.
  5. Field Rentals: The Latino teams under Francisco have been playing on the fields this summer. Allan has collected checks for the rental. The Frisbee league is believed to return and rent the fields this summer. Carter Middle school plans to rent one field this fall for their home games.
  6. To do items:
    1. Bags of garbage are still on the trailer from the May tournament. Approximately ½ has been placed in the trash cans for pickup throughout the summer but the other ½ still remains. Matt said he would pull the trailer to the convenience center to get rid of the remaining trash in the next week.
    2. Bobcat has a large hydraulic oil leak. We plan on getting the Bobcat loaded on the trailer and taking it to Bobcat shop and getting this fixed. Scheduled for Sat 7/31/21.
    3. Long tractor does not start. Katherine said she know someone who might be able to work on this.
    4. Work Day Aug 28th: Once the teams have been formed and coaches assigned, a Parent/Coach/staff meeting is planned. At this meeting it is planned to recruit parents, etc to volunteer for referee, field painting/mowing, concessions, and cleaning of bathrooms. Collin will bring a large 4’ x 8’ white board to list the tasks and those who volunteer.
    5. Matt plans on organizing a maintenance schedule for the equipment.
